Department Lists

The Department Lists report (the Dept Lists tab) gives each department a filtered breakdown of just the elements they care about — props for Props, costumes for Wardrobe, makeup elements for Hair & Makeup, and so on. It’s the document each department head uses for prep.

Generating a Department List

  1. Open Reports and click the Dept Lists tab.
  2. Pick a category from the dropdown:
    • Characters, Props, Wardrobe, Makeup/Hair, Vehicles, SFX, VFX, Stunts, Animals, Greenery, Music, Sound, Camera, Art, Misc.
  3. The table renders with all elements of that type.

What’s in the Table

Editing Notes

Click any Notes cell to type. Notes save automatically when you click away. Use this for prep status, sourcing details, contact names, or any per-element scratchpad you want shared with the team.

Variations

Versioning for this report is supported by the backend but not yet surfaced in the UI. The Variations picker that appears on the call sheet, sides, one-liner, full-fat, and cast-info screens is not present here — department lists currently render live from the breakdown rather than from named snapshots. Variations will follow in a later release.

Exporting

Click Export PDF to download the current category’s table as a print-ready PDF — what most departments hand off to their crew or vendors.

Empty State

“No elements found for this category — Try a different category or check the breakdown.” If a category is empty, double-check that elements are tagged correctly in the breakdown.

Tips

  • Each department head can own their notes in their category — Wardrobe types in Wardrobe, Props in Props. Notes are persistent across sessions.
  • Export per-category PDFs at the start of each prep week so each department has their working list.
  • The Days column is computed from the locked scenario — if the scenario changes, the days update automatically.
