Cast List

The Cast List is a comprehensive table of all actors in your production. It tracks character assignments, contact details, agencies, managers, measurements, and more.

The Cast Table

The main view is a table with the following columns:

Cast #A numbered badge identifying the cast member. Double-click to edit inline (unless the number is locked).
Cast NameThe actor’s name, with an avatar showing their initial. A yellow Minor badge appears next to child actors.
CharacterThe character(s) they play, shown as clickable links
ContractA color-coded pill showing contract type
ScenesNumber of scenes the cast member appears in
AvailabilityThe cast member’s booked work dates (start – end). The calendar icon on the row opens the date picker to set availability.
ActionsOverflow menu (three-dot icon) with Edit, Lock/Unlock number, and Delete

On narrower screens, some columns (Character, Contract, Scenes, Availability) are hidden to save space.

Contract Types

Contracts are displayed as colored pills:

Any contract type not listed above falls back to a gray pill.

Searching, Filtering, and Sorting

  • Search bar — Filter by name, character, or cast number. Results update as you type.
  • Contract filter — Filter by contract type (Principal, Day Player, Daily, Weekly, On Hold, Stunt, Stand-in, Extra).
  • Scene filter — Narrow the list to cast appearing in a specific scene.
  • Sort — Sort the table by cast number, name, scene count, or contract.

Header Buttons

The toolbar runs along the top of the tab. From left to right:

  • Refresh — Re-fetch the cast list from the server.
  • Export — Download the cast list as a PDF or Excel file (choose from the dropdown).
  • Renumber Cast — Open the renumber dialog to reassign cast numbers in bulk.
  • Import — Import cast members from a CSV or Excel file.
  • Add Cast Member — The primary button at the end of the row; opens the add dialog to create a new cast member.

Adding a Cast Member

  1. Click Add Cast Member.
  2. Fill in the form:
    • Name (required) — The actor’s name.
    • Character — Search and select one or more characters (elements) this actor plays.
    • Email (optional) — Contact email.
    • Phone (optional) — Contact phone.
    • Cast # (optional) — Cast number assignment.
    • Contract (optional) — Select contract type from the dropdown.
  3. Click Create.

The Cast Profile Panel

Click a cast member’s row to open the profile panel on the right side. The panel shows:

Header

  • Avatar with the actor’s initial.
  • Full name.
  • Linked characters (as clickable tags).
  • Edit and Delete buttons.

Profile Cards (scrollable sections):

  • Contact — Email, phone, and personal details.
  • Agency — Agency name, address, agent name, email, and phone.
  • Manager — Manager name, email, and phone.
  • Measurements — Full measurement details (height, weight, chest, waist, hips, shoe size, and more).
  • Special Requirements — Any special needs or notes.
  • Production — Start/end dates, wardrobe and makeup prep times.
  • Scenes — List of scenes this cast member appears in.

Editing a Cast Member

Click the Edit button in the profile panel, or choose Edit from the row’s overflow menu (the three-dot icon). The edit dialog has sections for:

Basic Info

  • Name, Cast #, Character(s), Contract.

Personal Details

  • Stage Name, Email, Phone, Nationality, Date of Birth.

Production

  • Start Date, End Date, Wardrobe Prep (minutes), Makeup Prep (minutes), Special Requirements.

Agency

  • Agency Name, Agency Address, Agent Name, Agent Email, Agent Phone, “In Mailing List” checkbox.

Manager

  • Manager Name, Manager Email, Manager Phone, “In Mailing List” checkbox.

Measurements

  • Height, Weight, Chest/Bust, Waist, Hips, Inseam, Jacket/Suit, Shirt/Top, Trouser/Pant, Dress, Shoe, Hat, Glove, Collar, and a Measurements Notes field.

Click Save when done.

Deleting a Cast Member

Click the Delete button in the profile panel, or choose Delete from the row’s overflow menu (the three-dot icon). A confirmation dialog appears before the deletion proceeds.

Where cast data shows up next

A cast member only flows downstream once their character is linked to scenes in the breakdown. Once those scenes are scheduled onto shoot days, the cast member surfaces in:

  • Call sheets — the cast table for each shoot day, with makeup and set call times derived from their wardrobe/makeup prep minutes.
  • Sides — you can generate sides filtered to a specific cast member.
  • DOOD — their work / hold / travel pattern across shoot days.
  • Mailing lists — their email (and the agent/manager emails, if “In Mailing List” is on) for the relevant day.

Reports are snapshots, so after you change a cast member’s details, refresh the report to pull the new values through.

Tips

  • Double-click the Cast # badge to quickly renumber a single cast member inline. Use Lock number from the row’s overflow menu to protect a number from inline edits and bulk renumbering.
  • Use the “In Mailing List” checkboxes in the Agency and Manager sections to control whether agents and managers receive production communications.
  • Character links connect cast members to elements in your breakdown, so the same character shows up in both places.
  • Keep measurements up to date — the wardrobe department relies on them for fittings.
