Mailing List

The Mailing List tab generates email distribution lists for sending production communications — call sheets, schedule updates, memos — to the right people on the right day.

How It Works

Mailing lists are generated per shooting day. You select a date, and SceneItAll compiles a list of relevant recipients based on crew availability, cast bookings, and any one-off additions.

Selecting a Date

Click the date button (showing the current date with a calendar icon) to open a date picker. Select the shooting day you want to generate a list for.

Crew and Cast Tabs

The mailing list has two sub-tabs:

Crew Tab

Shows crew members who are relevant for the selected date. Each entry displays:

  • Checkbox — Include or exclude from the list.
  • Name — The crew member’s name.
  • Role — Their position.
  • HoD badge — Orange “HOD” pill if they’re a Head of Department.
  • Email — Their email address.

Cast Tab

Shows cast members relevant for the selected date. Cast entries may include sub-rows for:

  • Agent — Indented below the cast member, with an “AGENT” badge.
  • Manager — Indented below, with a “MANAGER” badge.

Agent and manager rows appear based on the “In Mailing List” settings in the cast member’s profile. You can toggle a manager’s inclusion using the switch on their row.

Adding One-Off Recipients

For people who aren’t in your cast or crew directories but need to receive this specific communication:

  1. Click ”+ Add Recipient” in the footer.
  2. An inline form appears with Name and Email fields.
  3. Fill in both fields and click “Add”.

One-off recipients appear in the list with a “ONE_OFF” badge and can be removed by clicking the delete icon.

Selecting and Copying Emails

Select Recipients

  • Use individual checkboxes to include or exclude specific people.
  • Use the “Select all” checkbox in the footer to toggle everyone.
  • The footer shows a count: “N of X selected.”

Copy Emails

  • “Copy All Emails” (header button) — Copies all listed email addresses to your clipboard.
  • “Copy Selected Emails” (footer button) — Copies only the checked recipients’ emails.

Paste the copied emails into your email client’s To or BCC field.

Tips

  • HoD-flagged crew members are automatically included based on their availability status for the selected date.
  • Use the cast tab’s agent/manager rows to ensure agencies stay informed about their clients’ shooting days.
  • One-off recipients are useful for visitors, studio executives, or freelancers who aren’t in your regular directories.
  • Generate the mailing list before sending daily call sheets to make sure no one is missed.
