Departments

Departments

The Departments tab is where you organize your production into departments and the positions within each department, then assign crew members to those positions.

Prerequisites

  • A project is open.
  • You need admin permission to add, edit, or remove departments and positions. Anyone on the project can view the structure.

The View

Each department appears as an expandable card. The card header shows the department name, an optional description, and a count badge of how many crew members belong to it. Click the header to expand the card and reveal:

  • The positions in that department, each with the crew members assigned to it.
  • An Unassigned section listing crew who belong to the department but haven’t been given a position yet.

Click any crew member to open their profile panel on the right. Admins also see two icon buttons in each department’s header: an edit icon (rename / edit the description) and an assign crew icon (a person-plus icon).

Adding a Department

  1. Click Add Department in the top-right of the tab (admin only).
  2. In the dialog, enter a Name (required) and an optional Description.
  3. Click Create.

The new department appears as a card with a zero count, ready for crew.

How positions work

Positions (job titles like “Gaffer” or “Script Supervisor”) are project-wide — they are not created inside the Departments tab, and there is no “Add Position” button here. You create and assign positions while adding or editing a crew member:

  • In the Add Crew Member or Edit Crew Member dialog, the Position section lets you select from existing positions, or click + Add Position to create a new one.
  • A crew member can hold more than one position.

See Crew list for the crew add/edit flow.

Assigning Crew to a Department

  1. In a department’s header, click the assign crew icon (person-plus, admin only).
  2. In the dialog, pick a crew member and, optionally, a position within that department.
  3. Confirm to assign them.

Crew members come from your project’s pool — add them in the Crew List tab first if they’re not already there. Crew assigned to a department but without a position land in that department’s Unassigned section. Use the × on a crew tag to unassign someone.

Editing or Removing

Use the edit icon on a department’s header (admin only) to rename it or change its description, and the same header controls to remove a department. Because positions are project-wide, removing a department does not delete the positions themselves.
