SceneItAll is a production workspace for film and television teams, operated by the SceneItAll team, based in the Netherlands ("SceneItAll", "we", "us"). This policy explains what personal data we collect, how we use it, and the rights you have. We host and process all data in the European Union (Microsoft Azure, North Europe region).
SceneItAll is currently operated as an unincorporated project while we complete company formation; we will update these details with our registered company information at that time.

The two roles we play
Under the EU General Data Protection Regulation (GDPR) we act in two capacities:
- As a controller — for the account and billing information we collect to run SceneItAll and bill you.
- As a processor — for the production content you upload and the people you add to a project (for example cast and crew contact details). You decide what goes into your projects; we process it on your instructions to provide the service. Our data processing terms govern this and are available on request.
Information we collect
Account and identity. Authentication is handled by our identity provider, Clerk. We receive your email address, display name, optional profile picture, and time zone. Your password and any multi-factor settings are held by Clerk; we never see or store your password.
Billing. Payments are handled by Stripe. We store your Stripe customer reference, your plan or tier, and your credit-ledger history. Card numbers are processed by Stripe and are never stored on our servers.
Content you provide. Scripts, breakdowns, schedules, call sheets, reports, comments, and any files you upload, including project logos and documents.
People you add to a project. To run a production you may add cast and crew details — names, email addresses, phone numbers, agent or manager contacts, headshots, measurements, and availability. This is personal data about other people that you control and are responsible for.
Usage and security logs. We record technical data needed to operate and secure the service: IP address, browser and operating system, the requests your client makes, and sign-in events.
How we use information, and our legal basis
- To provide SceneItAll — create and run your projects, process scripts, and generate reports (legal basis: performance of our contract with you).
- To bill you — manage plans, credits, and payments through Stripe (contract).
- To keep the service secure and reliable — prevent abuse, debug, and maintain audit logs (our legitimate interests).
- To support you and send service messages — respond to requests and tell you about important changes (contract and legitimate interests).
We do not sell personal data, and we do not use it for third-party advertising.
AI-assisted features
Some features — element detection, continuity checking, scene splitting, synopsis generation, and translation — use AI models hosted on Microsoft Azure OpenAI in our EU region. The script and scene text needed for a feature is sent to that service to produce a result. This processing is scoped to your project, and your content is not used to train any AI models. AI output is a suggestion and should be reviewed before you rely on it.
Where your data is stored
All data is stored and processed in the European Union (Microsoft Azure, North Europe). Uploaded files live in private storage that your browser never reaches directly — every file passes through our backend. Data is encrypted in transit (HTTPS) and at rest.
Service providers we share data with
We share data only with the providers we need to run SceneItAll:
- Clerk — authentication and account management.
- Stripe — payment processing and billing.
- Microsoft Azure — hosting, database, file storage, and the Azure OpenAI service that powers AI features.
- Our email provider — sending invitations, notifications, and report links.
We may also disclose data where the law requires it, such as a valid court order. Some providers (including Clerk and Stripe) are based in the United States; where data leaves the EU we rely on the European Commission's Standard Contractual Clauses or an equivalent safeguard.
How long we keep data
We keep your account and project data for as long as your account is active. Sign-in event logs are deleted automatically after 90 days. When you close your account or ask us to delete your data, we remove it from active systems within a reasonable period, except where we must keep limited records to meet legal or accounting obligations.
Your rights
If you are in the EU or EEA (and in many other places) you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- receive your data in a portable format;
- restrict or object to certain processing;
- withdraw consent where we relied on it.
To exercise any of these, email hello@sceneitall.pro. We will not charge you or treat you differently for using your rights. You also have the right to complain to your data-protection authority — in our case the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
If your details were added by a production
If you are a cast or crew member and your contact details are in SceneItAll because a production added you, that production is the controller of your data. Please contact them to access or remove it; we will help them do so.
Security
We use role-based access controls, encryption, and standard security practices to protect your data. No online service can promise perfect security, but we work to keep your information safe and to notify you of any breach that affects you, as the law requires.
Children
SceneItAll is a professional tool and is not directed to children. We do not knowingly collect data from anyone under 16.
Changes to this policy
We may update this policy as the product evolves. We will change the date above and, for material changes, let you know in the app or by email.
