Crew

Crew overview

The Crew section is where you manage everyone in your production — cast, crew, departments, availability, and mailing lists. Open it from Crew in the sidebar. The section opens on the Cast List tab by default.

Crew and cast sit between the breakdown and the schedule in SceneItAll’s data flow: cast members link to the characters identified in your episode breakdown, and once those characters are tagged to scenes and scheduled, the cast flow downstream onto reports such as call sheets, sides, and the DOOD. Crew is episode-scoped and does not filter by the revision selected in Scripts; scene links use the latest production-ready revision while cast and crew records remain shared.

The five tabs

TabWhat it does
Cast ListManage actors, their characters, contracts, contacts, agencies, managers, and measurements.
Crew ListManage crew members grouped by department, with positions and contact details.
DepartmentsOrganize the production into departments and the positions within each, and assign crew to them.
AvailabilityA monthly calendar showing who is available, booked, on hold, traveling, or unavailable on each date.
Mailing ListBuild per-day email distribution lists for cast and crew, plus one-off recipients.

Select a tab to switch views. Each tab’s actions (add, import, export, and so on) appear in the toolbar to the right of the tab row.

Who can do what

Viewing any tab works for any project role. Adding, editing, deleting, importing, and renumbering generally require the admin role or higher. A few surfaces are tighter: cast measurements are limited to admins and the costume, hair, and makeup heads of department, and the Mailing List tab needs at least the member role (viewers cannot open it). Where a role matters, the matching article says so.
