Availability Calendar

The Availability tab provides a monthly calendar grid showing the availability status of cast, crew, elements, and locations across your production.

The Calendar Grid

The grid has two parts:

  • Name column (left, fixed) — Lists people and items with their name and role.
  • Date columns (right, scrollable) — One column per day of the month, with colored status dots.

Weekend columns have a slightly different background for quick identification.

Status Dots

Each cell shows a colored dot indicating the status for that person on that date:

A small blue dot in the corner of a cell indicates that a note is attached to that date.

Filtering

Use the type filter dropdown to show:

  • All Types — Everyone and everything.
  • Cast Only — Actors only.
  • Crew Only — Crew members only.
  • Elements — Production elements.
  • Locations — Filming locations.

Use the left/right arrows next to the month name to move between months. The current month and year are displayed between the arrows.

Setting Availability

Single Date

  1. Click a cell in the grid.
  2. A popover appears showing the person’s name, role, and the selected date.
  3. Click a status button (Available, Booked, Hold, etc.) to set the status.

Date Range

  1. Click and drag across multiple cells in the same row.
  2. The selected range highlights in blue.
  3. When you release, a popover appears for the full range.
  4. Select a status to apply it to all dates in the range.

Importing Dates

For bulk updates, click the “Import Dates” button in the tab header. The import dialog lets you:

  1. Select a person from the dropdown (shows name and type: Cast/Crew/Element/Location).
  2. Choose a status using the colored status buttons.
  3. Select dates on a mini calendar:
    • Click individual dates to toggle them.
    • Click and drag to select a range.
    • Navigate between months with the arrow buttons.
    • Click “Clear all” to reset your selection.
  4. Optionally add a note (e.g., “Prior commitment”, “Filming other project”).
  5. Click “Import X Dates” to apply.

Exporting DOOD

Click “Export DOOD” to generate a Day-Out-Of-Days report. See the DOOD export guide for details.

Legend

A color legend below the filters shows all seven statuses with their colors for quick reference.

Tips

  • Drag across cells for fast bulk updates — it’s much faster than clicking one date at a time.
  • Use the note feature to explain why someone is unavailable (hover over the blue note indicator to see it).
  • The type filter is useful when you only need to check cast availability for a shooting day.
  • Import dates is ideal for blocking out known unavailability periods (holidays, prior commitments) in bulk.
