The cost of re-typing the same call time six times
A single call time – say, crew call at 07:00 – doesn’t live in one place on a production. By the time a shoot day is fully prepped, that number has usually been typed, by hand, into the schedule, the call sheet, a text or group message to crew, a note to transport, possibly a separate note for background or specialist departments, and whatever personal notes an AD keeps for the day. Six isn’t an exaggeration. It’s a conservative count.
Where the same number actually lives
Start with the schedule itself, where the call time is set against the day. Then the call sheet, which restates it in at least two places – the header crew-call box and, often, department-specific call times layered on top of the base number. Then whatever gets sent directly to crew who don’t check a call sheet PDF first thing – a group message, a text blast, a mailing list note. Then transport, who need it separately to plan pickups. Then, frequently, a specialist department – background, a stunt team, an additional unit – working to their own adjusted version of the base time. None of these are redundant on purpose. Each one exists because a different audience needs the number delivered a different way.
Six chances to get it wrong, not one
Every one of those six re-entries is typed by a person, from memory or from glancing at another document, rather than pulled automatically from a single source. A call time is a small number – four digits, easy to mistype, easy to transpose, easy to copy from yesterday’s version by habit rather than checking today’s. The odds of any single entry being wrong are low. The odds that all six agree perfectly, every single day, across an entire shoot, are considerably lower – not because anyone’s careless, but because six independent chances to introduce a one-digit error is simply six chances, not one.
The errors aren’t randomly distributed
They cluster exactly where you’d expect: late changes, made under time pressure, propagated by whoever’s still awake to do it. A call time that shifts at nine at night doesn’t get six calm, careful updates. It gets six rushed ones, done by someone who’s already been working for twelve hours and is updating the sixth document from memory of what they just typed into the first five. This is precisely the condition under which a typo is most likely and least likely to be caught before it reaches someone.
What the actual cost is
It’s rarely a full lost day. It’s smaller and more frequent than that: a background performer who shows up at the old call time and waits forty-five minutes doing nothing. A transport run scheduled around a number that quietly changed. A department head planning their morning around whichever version of the call time happened to reach them first, which may not be the current one. None of these individually derail a production. Add them up across a shoot’s worth of days, and the accumulated cost – in wasted time, minor confusion, and the occasional real scramble when the wrong version reaches enough people – is larger than any single instance suggests.
A small worked example
Imagine a genuinely modest error rate: a one-in-twenty chance any single manual re-entry of a call time is wrong, purely from typos or version drift – optimistic, if anything, for a rushed late-night update. Across six independent re-entries, the chance that at least one of them is wrong isn’t one in twenty. It’s closer to one in four. That’s not because anyone is unusually careless. It’s simply what happens when the same small mistake gets six separate opportunities to occur, on a day when at least one of those six documents reaches someone who needed the correct number to plan their morning.
Why this is a structural problem, not a discipline problem
The instinct is to treat this as a carefulness issue – double-check every entry, appoint someone to verify. That helps, but it doesn’t remove the underlying structure: six manual entries from one number is still six manual entries, however careful the person doing them is. The fix that actually holds isn’t more diligence applied to the same process. It’s reducing how many of those six are manual re-entries in the first place – a call sheet that pulls its call time from the schedule rather than having it typed in separately, a distribution that goes out from the same source rather than being retyped into a separate message.
What doesn’t change, and what does
None of this removes every audience’s need to receive the number in the format that works for them – a text message and a formatted call sheet will always look different, and department-specific adjustments to a base call time are a real, necessary layer, not redundancy to be eliminated. What changes is whether each of those six touchpoints is independently typed from memory, or is a different view onto the same underlying number. One of those structures has six chances for a one-digit slip to survive to the morning. The other has one number, and six ways of displaying it.
